1. ACCEPTANCE AND APPLICATION

The Société de Gestion du Réseau Informatique des Commissions Scolaires (“GRICS” or “we”) is providing you with this privacy policy (“Privacy Policy”) to inform you (“User” or “Users” or “you”) of our policies and procedures regarding the collection, use and disclosure of the data and personal information we receive concerning Users who use the parent version of the GRICS Mozaïk-Portail solution that can be accessed online or from a downloadable application, which uses the Mozaïk Identity Platform for purposes of user authentication management (the “Services”). This Privacy Policy applies to any person using the Services.

Make sure to check back regularly on this page for the most recent version of the Privacy Policy. We reserve the right at any time, at our sole discretion and without any liability, to update or amend the Privacy Policy without notice and your continued access to or use of the Services means that you agree to the updated or amended Privacy Policy. If we modify the Policy, we will update the “Last updated on” date at the top of the Privacy Policy text. In continuing to access or use the Services, you indicate that you agree to be bound by the revised Privacy Policy. If the revised Privacy Policy is not acceptable to you, please do not use the Services.

2. COLLECTION AND USE OF INFORMATION

The Services are a tool to access and display certain information you provide or that is collected by your child’s school service centre, school board or educational institution (the “School Body”) or any third party authorized by you or the School Body in relation to you or your child (“Authorized Third Party”).

The Services are developed and operated by GRICS for your child’s School Body and are offered to you free of charge by your child’s School Body through a subscription to the Services the School Body has with GRICS. The School Body determines the authorized users of the Services to which it subscribes and what information it wishes to exchange with them through the Services.

Information collected by, displayed by, or accessed through the Services may be grouped into the following general categories:

a. Information held by the School Body or any Authorized Third Party. As part of the performance of the Services, we may use or disclose information about you obtained by certain third parties, including the School Body or any Third Party authorized to use the Services when they hold content or publish on the Services. We can automatically import some of the information you provide to the School Body into your account to identify you and use our Services.

The use of this personal information is intended to:

  • Provide, maintain, perform and improve the Services;
  • Create your account and access the Services;
  • Carry out internal operations, including, for example, preventing fraud and abuse of our Services in order to resolve software and operational problems, perform data analytics, testing and research, and monitor and analyze trends in use and activity.

We are in no way responsible for the confidentiality practices of the School Body or the Authorized Third Parties to whom it provides access to the Services with respect to the collection, use, disclosure, retention, and destruction of collected data. We invite you to contact your School Body directly if you would like to know more about how your information is handled, or if you would like to view or otherwise submit any request regarding your information held by the School Body or an Authorized Third Party.

b. Information provided by the User. We collect the information you provide us directly, such as when you create or change your account, contact the customer support team, or contact us. This information may include any information required for you to access and use the Services, such as your name, personal identifier, mailing address, email address or telephone number (the “Identification Information”), any records, contact information, text, audio or video files, and images that are generated, entered, captured, uploaded, imported, downloaded or used by you.

c. Information collected by GRICS. When accessing our Services, certain non-personal information relating to your use of the Services is automatically collected, such as the type of device used and its hardware configuration, type of browser used, mobile network, IP address of the device, unique identification number of the device, information on the Internet service provider, information on the date and time of launch of the Services, route of the session, duration of individual Services use sessions, information on the content used during the use of the Services, occurrences of technical errors, the web page viewed prior to accessing the Services or during the use of the Services (the “Non-personal Information”). Said Non-personal Information may be stored and accessed using several technologies that can be downloaded to your personal computer, browser, laptop, tablet, mobile phone or other device (“Device”) when accessing or using our Services. We use Non-personal Information to examine our traffic, observe how Users use our Services, monitor and analyze Services usage, and monitor and analyze statistics in order to obtain an accurate representation for technical administration, to increase the functionality and user-friendliness of our Services and to better adapt them to Users’ needs. This type of information will not allow you to be personally identified.

3. HANDLING OF PERSONAL INFORMATION

We expressly acknowledge that we will not use your personally identifiable information (“Personal Information”) for any purposes other than those described above without your consent. In addition, we will only collect Personal Information to the extent necessary for the above purposes.

In addition, the Personal Information may be used and disclosed to the extent that GRICS may find it reasonably necessary to enforce the terms and conditions of use of the Services or to protect the rights, property or security of a person or entity or, if required by law, in particular, in response to a request from government authorities.

GRICS is committed to complying with all applicable laws and regulations relating to the protection of Personal Information.

To the extent that we associate Non-personal Information with Personal Information, we will handle that combined data as Personal Information, but otherwise we will not handle it as Personal Information.

INFORMATION SHARING

We do not sell, rent or disclose to any third parties the data we collect and store (collectively, the “Data”). You can expect us to share the collected Data with other parties as follows:

  • Affiliate service providers: We have agreements with various affiliate service providers to facilitate the delivery of our Services, under which we can share the data we have collected. All service providers we use are required to have the same level of privacy protection as ours. As a result, we expect your data to be handled with the same level of attention as we use.
  • Statistical analysis: We may share information generated from the Data that have been aggregated and/or anonymized for statistical, analytical, benchmarking, quality management and improvement purposes in relation to the Services, or for the development or delivery of other GRICS products and services. These aggregated and/or anonymized data must not permit you, or any individual or legal entity to which the data refer, to be identified in any manner whatsoever. The aggregated and/or anonymized Data belong to GRICS.

USE OF COOKIES

When using the Services, Personal Information may be collected through cookies which store information on your use of the Services and the pages you have visited. This may include technical information about your device and Internet connection such as the operating system, browser version, IP address, cookies and unique identifiers. The process can be done directly or through third-party technology. We use cookies to (i) help us recognize your browser as that of a previous visitor and to store the preferences you determined during your previous use of the Services. For example, we can save your login information so that you do not have to log in every time you access the Services and (ii) track usage statistics for the Services and to help us measure and study the effectiveness of our content, features, advertisements and other communications.

You can set up your browser to accept all cookies, reject all cookies, let you know when a cookie is issued, its validity period and content and allow you to refuse to store it in your terminal and delete your cookies periodically or set up your Internet browser to disable cookies. Note, however, that if you refuse cookies the performance of the Services may be affected.

SECURITY

GRICS warrants, for any period during which it has access to Data or Personal Information related to you, to set up security measures and technological means to ensure the security of the Data and the Personal Information collected, used, communicated, stored or destroyed in connection with the Services, to maintain their integrity and, as applicable, to protect their confidentiality and prohibit any person from accessing them who is not authorized to do so. GRICS warrants that these measures shall at all times be reasonable given, namely, the sensitive nature of the Data and Personal Information, their use, their quantity, their distribution as well as their medium.

GRICS will keep your Data and Personal Information that it has collected as long as the School Body subscribes to GRICS’s services.

Please note, however, that no data security measures can be guaranteed to be completely effective. Therefore, we cannot certify or guarantee the security of Data and Personal Information or other information.

We are not responsible for the privacy practices of other sites that you may click on when using our Services, and we encourage you to read their privacy statements.

LOCATION OF DATA AND PERSONAL INFORMATION

Our Services are intended for users located in Canada. If you are located outside Canada be advised that the information we collect, including Personal Information, will be transferred, handled, stored and used in Canada and/or the United States. In using the Services or providing us with any information whatsoever, you consent to the transfer, handling, use, sharing, disclosure and storage of your information, including your Personal Information, in Canada and/or the United States, as indicated in this Privacy Policy.
